The logbook and the inspection
What is in the logbook, why nothing can be taken out, and what an inspector gets from it.
The logbook is your evidence. Every reading, every flush, every alert and how it was handled is in it for as long as your subscription runs, sorted the way an inspector wants to see it. How long you must keep these records depends on the rules that apply in your country, and is your own responsibility. So keep the recorded monthly reports yourself as well, also in case you ever switch.
What is in it
- Flushes: per tap, with the time, who, and the status from the flushing round: verified, pipe at temperature, recorded on a circulation loop, not verified, without sensor, or confirmed by hand with a reason. A tap made without signal is shown as sent later.
- Sensor readings: the temperature per measuring point, every fifteen minutes.
- Monthly measurements: the monthly temperature check per measuring point, with the thermometer.
- Alerts: when a deviation started, when the sensor saw recovery, and what you did to close it.
- Documents and services: reports of a risk assessment, check valve inspection or sampling that you added to the records, with the date until which they are valid.
- Changes: a tap taken out of service, a sensor swapped, a building added, with who and when.
Nothing can be taken out
The logbook cannot be erased: entries are added, never changed or deleted. You correct a mistake with a new entry that refers to the old one. That is not a limitation but the reason the logbook counts as evidence.
At an inspection
Every month the app makes a report from the logbook, which you record after checking it. A recorded report has a number and a control number and never changes again. See The inspection report. You can also let the inspector view your records with a temporary share link.
The logbook supports carrying out your management plan; the management plan and the risk assessment themselves remain documents you keep at hand. You store them in the records, and the report says so when they expire. See The records.
